Salesforce vs Sugar CRM vs Sage ACT! Premium 2012

This 2011 review of hosted sales contact management and marketing campaign management solutions is based on balancing sales, marketing and CRM needs. Companies have struggled with this for years as Sales Contact Management solutions were not necessarily the best CRM solution. The winning recommendation for Sage ACT! Premium 2012 vs Salesforce Premium vs Sugar 6 CRM is based on very specific criteria. Businesses need to clearly define their needs for now and the future and TEST, TEST, TEST before committing an entire organization. Start with a few key sales and marketing staff and form a beta testing group to help evaluate as well as refine nurturing programs, layouts etc.

Three critical criteria for selecting a solution in this review:

  1. It must meet all sales lead and contact management system requirements.
  2. It must be a hosted cloud solution, offer mobile sync, and be user friendly with little or no integrations or customization needed. Intuitive use is essential.
  3. It must include cross channel support of data input ( leads), and optimally cross channel output- (print, email

After reviewing many options and other user reviews, the list was narrowed to three based on personal knowledge, market leadership, and ability to pass the basic criteria. Sage ACT! Premium 2012 is included because I’ve used Sage Act! off and on for 15 years, and Sage launched their new version this month with cloud, email, mobile and social integrations. I currently use Act! Premium for Workgroups with a $10 one-time fee iPhone mobile plugin, to sync scheduler and contacts, and I previously used ACT! Corporate about 2 years ago. There were many limitations in the corporate compared to the desktop version at the time, rendering it to be mostly a lead management tool, and not useful enough for sales agents to make it their primary tool. I’ve also used Salesforce off and on for about 3 years since the company was launched. I always went back to ACT! because I felt the cloud was too slow and there were limitations regarding contact fields. I’ve had custom options for so long via ACT!, it’s hard to live without them. The cloud was not drastically slow, but it’s noticeable when you’re using the system for contact activities vs on the desktop. I have no prior experience with Sugar and I don’t personally know anyone using it. PCMAG editors and users gave it the beta version a 4 star review in 2010.

CRM & Sales Contact Management Hosted Solution Recommendations:

Sage ACT! 2012 doesn’t even come close for return on investment for anything but a small user group. I love the product and there is a lot of value not mentioned in this article that you don’t really know until you use it and compare to others. (Since it failed to meet the basic criteria established, there is no reason to expound on other benefits. ) If you’re not using the optional cloud services, then choose ACT!. If you want the cloud, it’s very limited compared to other options. If you’re an ACT! user and want to stick with it, but upgrade to cloud service, you might want to look at SalesNexus instead. This is a nice comparison chart for Salesforce vs ACT! vs SalesNexus. LandslideCRM is also worth a look.

Salesforce is arguably the most robust solution on the market. But that comes at a price both monetarily and with time investment. For larger companies with big budgets and teams to plan out a complex integration of many other existing systems and resources, it’s a winner. However, that does not meet the initial criteria of simple and easy to roll out.

SUGAR 6 is the clear and convincing winner based on the criteria established and reading the online information. In addition to meeting the criteria, it also has other items on my wish list, including a free desktop version with automated sync. This is a true cloud combining web, mobile and desktop. The open source code is fairly easy to navigate and modify. Though it’s newer on the market, there is a strong community and support team to help users. Note: There is a FREE community version

Follow up on Sugar 6. I signed up for the free 7 day trial. Although it’s a demo account and not necessarily indicative of the live account, it was lightening fast. The dashboards are elegant and useful. There are many positives and great comparisons to ACT! features I already love, but rather than modify drop downs on the fly, users have to click on the admin button. All the changes I wanted to make, such as adding a field for SIC code, were done in the studio without going to the Module Builder where you can create your own custom tabs to navigate. The module builder can overwrite tabs, so just like ACT, some thought should go into planning to deploy for all users. However, out of the box, it’s pretty robust. I probably spent a day on ACT! layouts and the same will be needed here.

There are a few questions raised from using the trial account for about an hour and not knowing what difference the desktop version might have. Limitations- these may be able to be overcome, but not in trial version:

  • Users can send emails from their account, but cannot send email blasts. ( Users can assign contacts to newsletter lists.)
  • Email blasts are only from the administrator- one email set up for from etc
  • It looks like to send a letter, you do it on your desktop then upload to record vs “write letter” or “write letter from template” and it pre fills info. There is a FREE SugarCRM MS Word plug-in for both mac and PC .
  • Modifying drop downs is easy to do, but all changes must be made in that module. It cannot be done while you are in the contact section like in ACT!. This means it will take extra time to navigate back and

InsideView is a good plugin for time saving insights for prospects. Prices range from free to $99 per month. The free version is built into SUGARCRM.

Management can put in the cost of a campaign and see ROI at a glance by assigning leads to the campaign. You might want to write a script so the ROI displays floating periods- what the ROI was 30 days, 6 months, and 12 months. For example, trade show leads could take many months to close and others quicker or vice versa. The dashboard provides monetary ROI graphics to compare multiple campaigns and marketing methods. If Sugar doesn’t have a feature out of the box, it appears to almost anything can be customized fairly easily. You don’t need to be a programmer, but for more involved stuff, a little knowledge wouldn’t hurt.

Before you give away an advertising specialty,  you’ll want to collect information about the prospect at the tradeshow, online, or in direct response forms. Automating lead responses is critical since one of the greatest failures of lead generation is lack of follow up. This is especially true for mid-size businesses. A decade ago custom forms were expensive and generally done by a web programmer. Although that’s still an option, using a web form creation service can also provide a lot of benefits. When you choose a solution you’ll want to consider these elements in case there are price restrictions with different features.

  • How many forms am I likely to create?
  • Do I need an automated response and auto redirect page, or do I need a lead nuturing system that will enable multiple automated follow ups?
  • If using social media or online advertising, how many landing pages will I have over time?
  • How easy it is to export data and is it in a form I can use elsewhere?
  • Who is going to manage my forms?
  • How many people will fill in my forms?
  • Do I need to collect payment?
  • What do I need to integrate with? (Salesforce, Mailchimp etc.) What data is sent/captured? If relying on an API, how will triggers work?
  • Am I going to analyze reports and if so, what data is needed?

Complex.Though robust, you’ll need more of an IT mindset to plan and deploy. Significantly reduces program from scratch projects. Good solution for large companies with in-house IT and marketing resources to create and deploy complex projects in shorter timeframes. Adobe Genius.com. They have a great company name and some nice creative, but the site seems to fall short on telling their story and I encountered a few html errors which makes me pause. Pros: Mulitple channel marketing. Genius URL’s let’s you collect data from many points with extensive tracking. Once in the genius system, it’s all web based and there is an option to integrate to Salesforce where you can then set up triggers. These formbuilders have less frills for those who really want to collect information, but are not interested in spending time analyzing reports and don’t need many fancy features.

Coffeecup did not make the cut. Emailmeform is a very simplistic, yet cost effective solution that offers SSL and export for basic forms to COLLECT data. $9.95/mth for ad free, unlimited forms and responses. All formbuilders reviewed include a spam filter such as captcha.

It’s absolutely critical to understand how you want to collect data and what you’ll do with it after to choose the best solution for you. The other element is technical expertise. Do you need a solution that provides beautiful creative for you, or do you have staff skilled enough to tweak it the way you want? A solid planning solution is to have marketing write out their plan. This entails: – Sketch the flow from capture to management, which will provide a blueprint for planning. For example, marketing wants to capture leads from a direct mail campaign, a trade show, and an email campaign. A postcard is sent out directing prospects to a landing page that tells a story and has a fill in form. Cards are scanned at a trade show. Emails are sent. Do they all link to the same landing page? Or are each unique messages? What’s on the response form? Is the data merged into a common database? How will the database distinguish this lead source from another? Who will see the data? How will the data be managed? Does it need to be exported? Is there an automated sequence to follow up? Does the sequence vary by data response source? Does the sequence involve print or email? Only when you answer all these questions, can you determine the best solution for your company. If you need to ‘walk before you crawl’, make sure that you choose a solution that will export exactly the data you want if you envision upgrading at a future date. You may need IP address, date, URL where captured to import into other programs, especially if there is an email sign up.

Hosted CRM Software- 8 Reviews to Grow Your Business

How do you track the success of your marketing campaigns including the ROI for promotional gifts? Several CRM solutions now have tighter integration to include budget and resulting sales,with insights by vertical market, campaign delivery method and more. Have you struggled to find the perfect CRM software solution? This article on  6 Web-based CRM Applications Side-by-Side led me on a path to review the solutions, and others, more in-depth.
Here’s my own reviews and experience points. Most are fine if you want an online solution, that might also integrate with mobile, but most also fall short on offline use such as exporting a group to send a mailing to; They typically support export all or export none instead of being able to look up a group and export for mailing labels or other uses.

Highrise-Basic plan is now $24.95/ mth for up to 6 users, but strangely only supports 10 deals. It’s $49 for unlimited deals. Or the soho plan 1 user is $29/mth unlimited deals. While other solutions record notes, calls, and emails in separate tabs, any kind of dated record is all in one tab. It has an interesting way to attach email records, plus integrated contact tweets, and you can capture data from a web form into highrise. I’m a 37 signals basecamp user and the layouts are very similar. It doesn’t have the robustness of a CRM desktop software, but as a cloud solution it’s worth a look.

PipelineDeals , from $15 per user per month, has a feel a bit more like ACT! with the way you can clone contacts and specify the type of record- note, call, meeting etc. They compare themselves to Salesforce, but easier to get started and deliver just what you need for a better value. It falls short by not having a more robust drop down to reduce time for repetitive events such as, Call and left message, Call attempted, call completed. I didn’t see an easy way to select contacts, groups, or export for a mailing list.

Pipejump that others mentioned is definitely better than Pipeline. They have a standard embedded form code (not adjustable) to capture leads from your website and a Track your lead source. When adding users, it will automatically fill in company name options as you start typing the company name. It also has a way to record emails with email dropbox like Highrise. Export is via an email they send you, not very convenient if you want to do direct mail and have groups.

Salesforce- hands down the most robust of any solution- pick your price plan and get the features you want. What I’ve always disliked in the past is the speed of using the site. Their $15/mth plan probably beats any other app on this list, but I also believe to get all the features you probably really need, including mobile, costs $60-100/mth per user.

Oracle crm on demand- This is a horrible sales pitch. What are they selling? There are no screen shots to share.

Sugar CRM is an open source solution and the only solution with fully integrated email, contact de-dupe, and multi-channel campaign management, plus it has mobile. I like this best and even looks like it is better than ACT! desktop version. Starting @ $30 month per user. Mobile apps just launching this month, and is only included with $45/mth and above plans.

Zoho- the most annoying thing about this one are the layouts- it’s a dealbreaker for me and not worth discussing further. If you want to add a note to a contact you have to scroll down the screen. Overall busy and not intuitive enough. However, there are a ton of features so some will probably really like the value of this solution- it’s free for 3 users. or $25/user/mth for the enterprise edition which also includes de-dupe, groups, and autoresponders. The iphone app is $3 per user per month. Integrated email is $3/user/mth extra.

Infusionsoft is the only one I know with fully automated marketing. It wasn’t for me when I tested last year because the print side was missing and drip campaigns were all email, however, it looks like they now have automated drip email campaigns and some direct mail feature integration. It has contact groups (segmentation), a simple web form builder to capture leads, de-dupe, and it solves the oldest sales problem- lack of follow up. At $199/mth minimum, it’s the most expensive but might also be the most valuable if you set up actions and have them occur automatically. Personally, if I can’t achieve $199/mth in new sales, I need to close my doors!

Vitger OnDemand CRM, $12 per user per month, is another open source solution with optional mobile app, $19. They offer more than just CRM, as this solution includes invoicing, email plug-ins, support automation and inventory management. This looks like it has a lot of features, but it’s open source and you’ll rely on the community for support. If you like ‘do it yourself” then maybe this is for you. There are lots of features but it’s not entirely intuitive and overall it takes more clicks for common tasks than others in my opinion. I didn’t like their help section and couldn’t find a quick answer to exporting contacts.

Conclusion:

I use ACT! Premier Desktop for workgroups now. I’ve used ACT! the better part of 15 years. I’ve also used ACT! web version for corporate, and Salesforce, among others, but I always come back to ACT! desktop. I recently added DejaOffice which syncs my contact info to my iphone; The app is free.

Of the hosted solutions reviewed, for the average small to medium business, SugarCRM, Zoho, and InfusionSoft are all worth a look. To narrow down your personal choice, determine what is most important to you. Major differentiating factors are integrated campaign management and tracking, integrated email, social networking information, de-dupe, automated drip campaign and sharing.  Check that the export feature will do what you need. All offer a free trial.
